EEE Statement on Data Use and Privacy

Research

Please know that a current research project may be using faculty and student generated data from the Learning Management System and related third-party software. Information about your activities in EEE tools may be provided to authorized researchers who have obtained approval to collect and analyze data from the UCI Institutional Research Board (IRB).

The EEE team is committed to protecting your privacy when you use EEE tools and services. This privacy statement is applied to all services within the EEE toolset and to tools that consume LMS data, which includes but is not limited to:

EEE products, services, and staff adhere to all applicable UCI Campus and UC Systemwide privacy policies. Additionally, EEE privacy practices are informed by the Family Educational Rights and Privacy Act (FERPA), the Freedom of Information Act (FOIA), California Public Records Act (CPRA), Institutional Review Board (IRB), and applicable state and federal laws.

This statement is intended to provide additional information about the collection and use of data with EEE products and services. Data collection is automatic. Individuals cannot opt out of data collection. Data is subject to removal according to data retention policies.

Note that additional products and services integrated within EEE may have separate privacy policies that are distinct from this EEE privacy statement. Refer to the tool-specific privacy policy for more information.

What is collected?

Each time you take an action within any of the EEE products or services, a log entry is recorded and stored within EEE systems. This log information may be used to inform development activities, as part of support responses, or incorporated into approved research projects. Log data typically includes your IP address, UCInetID, a timestamp, a URL representing the page you are viewing and/or the action you are performing, the time it took the page to load, an HTTP status code (which determines if any HTTP errors occurred during page load), information about your browser and operating system (including if you are using a mobile device).

For example:

  • Canvas Course: each time you view a page within your Canvas course space, a log entry that reflects the URL is saved.

Where noted within the system, actions will be kept confidential. For example, student identities are not associated with responses in the EEE Evaluations tool.

How might your data be used?

There are a number of ways your data might be used by the EEE team or provided to individuals upon request. The following are a few examples:

Support

Information about your activities in EEE products or services might be used to diagnose and resolve underlying issues with the system.

For example, if you experience technical difficulty when uploading an assignment, EEE support staff may access the logs of your activity within the assignment to determine if any technical issues occurred. When providing log information to students who report issues in the course of class-related activities, EEE Support Staff will also share that information with the appropriate instructor(s).

Research

For example,

  • An instructor might want to learn more about how students watch the videos uploaded to their course website in order to research whether or not the videos have an impact on students’ learning and success in a course. If the instructor has obtained IRB approval, they may be able to work with the EEE team to collect information about how each student accessed the videos provided on the course website.
  • A researcher might be interested in how instructors in different disciplines use the toolset in their courses. If the researcher has obtained IRB approval, they may be able to collect information about tool usage across specific disciplines during a specific time period.
Legitimate Educational Interest

There are a variety of other scenarios in which data about activities or grades within EEE tools is requested by UCI affiliates or collaborators. These individual requests will be reviewed by the EEE team and may be reviewed by other applicable authorities (such as the Office of the Registrar, the Public Records Office, the Information Security Officer) as appropriate prior to determining a response.

For example:

  • An instructor requests information about student activities within their course to verify issues reported by students.
  • In the process of acquiring or maintaining accreditation, a school might request aggregate information about student achievement or activity within the system.
  • A developer in a certain department might request access to student actions within the systems in the process of creating an analytics system, which would help students and instructors identify gaps in learning or progress.
